TIPS FOR CAMPUS LIBRARY STAFF PREPAREDNESS IN TIMES OF CRISIS

 

The campus has recommended that each unit develop a TIP Sheet for unit staff to prepare them for a major campus emergency.  Below is information that every Library Staff member should be aware of in event of a general campus emergency situation.

Building Manager and Crisis Coordinator:  Jim Fromm is the Building Manager for the Main Library, the Science-Engineering Library and the Center for Creative Photography and designated Crisis Coordinator.  He is the campus contact and should be notified by staff should any emergency occur in any one of these buildings.  His cell phone number is 548-9447.  His backups are Chris Caskenette at 307-7160 or Hayri Yildirim 307-3820 for Main and SEL and Tim Mosman 307-1756 or Trinity Parker 626-5208 for CCP. The Building Manager/Crisis Coordinator will be responsible for gathering information and keeping the Library staff informed. Library staff in the Fine Arts Library should contact the Building Manager for this Library.  Contact information is as follows:

Emergency Exits: All teams in the Library should orient all members to the location of the emergency exits nearest to the work area.  Knowing where alternative exits are will also be helpful should the nearest exit be blocked for any reason.

In case of emergency in your Library Building: Follow emergency procedures of calling 911, pulling fire alarm, or calling the Building Manager depending on the nature and urgency of the emergency.  If building evacuation is called for proceed to the nearest Emergency Exit immediately.  Each staff member is responsible for her/his own exit.  If you encounter someone needing assistance due to physical limitations, help them into the nearest fire exit stairwell to await assistance from official emergency personnel and exit the building.  Each team should plan evacuation assistance required for staff with special needs.

If you are advised to leave the campus, do so immediately. See below for Communications and Information Dissemination regarding return to work.

Communications and Information Dissemination: All staff members are responsible for having an emergency contact and phone number listed with Partners Human Resources and Organizational Effectiveness Team.  This information should be updated anytime a change occurs.  A form to facilitate these updates is available at: http://intranet.library.arizona.edu/teams/partners/hr/documents/EMPLOYEE_EMERGENCY_INFORMATION_FORM_000.doc

Each staff member should make their own arrangements with family members and child/elder caregivers for communications should an emergency occur on campus that becomes known to the public. For example, each staff member should maintain their own list of phone numbers for school officials, child/elder caregivers and family members they would want to contact.  Family members, school officials and caregivers should be instructed to contact the Central Campus Information (and not the Library) for any information regarding an emergency—updates, campus closure, building closures, class cancellations, etc. For Central Campus Information, call UA News Hotline 626-1222 or 1-877-362-7341. If there is NOT a building evacuation, Jim will use Allstaff e-mail to disseminate information; team Administrative Assistants will be called to convey specific information, requirements or restrictions, if needed; Team Leaders will be contacted by e-mail and/or phone; and Administrative Assistants and Team Leaders will be expected to work with their teams regarding dissemination of information.

Campus Information Desk: This is located in the Student Union Memorial Center on the main floor beside the Post Office and FastCopy.  In case of emergency power outage, information will be released through the Information Desk.

In the event of a communications and computer network loss but no evacuation, the central “Information Point” for the Library and CCP will be the Administrative Office, A349, 3rd Floor, in Main.  A radio with batteries will be maintained at this location.  Team Administrative Assistants can also be assigned this responsibility for their area.

Every team in the Library should have a discussion about information in this TIP Sheet, building exit procedures, calling 911,  and any internal team/staff concerns, taking care to keep the perspective that we do not anticipate an emergency but that this information may be useful to keep in an available place should it be needed at a future date. Individual teams are encouraged to create their own procedures following these general guidelines.
