Finding Proceedings of Conferences or Other Meetings

Proceedings of conferences, congresses, symposia, colloquia, workshops, or other meetings are often difficult to find because they may be published as separate books, as a volume in a series, as articles or supplement(s) to journals, as preprints, or they may not be published at all.

I. If You Have a Complete Citation

Example of a citation to a conference proceeding:

Holt, Stephen S. and Lee G. Mundy. Star formation near and far.
Seventh Astrophysics Conference, College Park, MD, October 1996.
Woodbury, N.Y.: AIP Press, 1997

To find conference proceedings in the library catalog:

If there is a unique name of a publication, search as title in catalog.

cf1a

If no title entry found, next try searching the name of the conference as author in the catalog.

Omit the number, year, and location. You may find several records for different years or one record listing several years. You'll have to analyze the records and select the entry that best matches the information you have.

cf2a

This is what you will see by searching Astrophysics Conference as an author cf3a

Select the first return, look at the results and select by date of publication (1996)

cf4a

If not located using these searches, try searching conference name (Astrophysics Conference)  as keywords in the catalog and then limiting to year of publication; however, this search may result in several records for the items other than the one needed. cf5

II. If You Can’t Locate in the Library Catalog or if You Have Only a Partial Citation:

Example of partial citation: College Park Astrophysics Conference, 1997

You will need to verify whether or not the proceedings were actually published. Proceedings of the conference or other meetings may not have been published or may be part of another publication. There are several options you may want to explore.

III. If Publication Confirmed and Library Doesn't Own

  • Once you’ve confirmed that the proceedings have been published, if the University of Arizona Libraries doesn’t own a copy you may request it through Interlibrary Loan at http://www.library.arizona.edu/services/ill/index.html. The time it takes to receive requested items varies depending on whether you request a book or just a paper from a volume of proceedings. The average delivery time for a book is 11 days. The average time for an article (paper) request to be filled is 4 days. Delivery time is dependent on the library sending the material and the availability of the requested material.
