Keyserver Documentation
To help save the Library money in using various software packages, DLIST is offering Keyserver. This software allows the Library to buy a limited amount of software and yet let everyone have access to it. For example, if we purchase 10 licenses of Dreamweaver, we could load the software on 50 computers. All 50 people could have access to the software, but only 10 at a time. When the 11th person wants to use the software then they would get a message that there are no available licenses and they will have to wait. DLIST will monitor the licenses usage and adjust the number of licenses to meet the demand.
Guidelines
Below are some guidelines that the Library will need to follow to use the Keyserver software. Further down is the list of software currently Keyserved:
- Library computer systems must have the minimum hardware requirements for the Keyserver client and associated applications to be installed:
- Pentium IV, 512 MB memory, Windows XP
- Team Leader approval will be required for new software requests (e.g. Captivate and MindManager are unkeyservable, so team will need to purchase on own). Users requesting an upgraded version for an existing software installation would not require Team Leader approval.
- Installation requests will be submitted through the request form or Helpline and assigned in Remedy system.
- Only DLIST and our students will be allowed to load the Keyserver client software and the software that will be Keyserved.
- The Keyserver installation CD and associated software applications will be stored as follows:
- Master copies will be marked and stored in a locked cabinet in the server room.
- Working installation copies will be stored in the DLIST CD cabinet.
- End users will not be given a copy of the application software.
- Existing installation versions will be uninstalled before the new software version can be installed. ( i.e. Photoshop CS2 will be removed and Photoshop CS3 installed ). This ensures licensing compliance.
- Usage reports will be generated by the systems administrator and reviewed by the DLIST Work Team Leader on a monthly basis.
- Users requiring more "permanent" access to the application will be assessed on an individual basis. A boxed application purchase may be required to meet their work related needs. The statistics from the usage report will help determine additional software needs.
- Requests to have additional software added to Keyserver will only be accepted by a Team Leader and will be reviewed by the DLIST Work Team Leader and appropriate XWING team members. Licensing requirements must be reviewed prior to any software purchase. XWING will need to test the software in our environment before adding it to Keyserver. This will take at least 2 months.
- Keyserved software should be purchased with a two-year software maintenance agreement unless the application does not provide this option.
- XWING will determine when software that is Keyserved will be upgraded. All Library staff will then be upgraded together. We can only run 1 (one) version of a software application at a time. The Library will be notified within 2 (two) months of the impending change.
- Jr. Librarian Laptops had Dreamweaver 4.0 when they were purchased (year 2000). These computers will not be upgraded.
- The above will be reviewed on a yearly basis and might need to change. The Library will be informed about any changes to the guidelines.
